Privacy Policy

This policy covers this website and the service we provide to our customers. We've tried to write it in plain English rather than legalese.
What we collect from this website
- What you send us. If you fill in a form or book a demo, we collect what you type — typically your name, business name, email, phone number, and what you tell us about your business.
- Basic technical information. Our hosting provider records standard server information such as IP address, browser type, and the page requested, in order to serve the site and protect it from abuse.
- Campaign tags. Links to our booking pages carry
utm_tags so we can tell which page a booking came from. These describe the link, not you personally.
Cookies and tracking
This website does not currently set advertising or analytics cookies, and we have not installed third-party tracking pixels on it. If that changes we'll update this policy and ask for consent where the law requires it.
Why we use it
- To reply to you and to run the demo call you asked for.
- To set up and operate the service if you become a customer.
- To understand which parts of our site lead to enquiries.
- To meet our legal and accounting obligations.
We don't sell your personal information, and we don't share it with third parties for their own marketing.
Who we share it with
We use a small number of service providers to run the business, and they only process information on our instructions:
- Our website host, which serves this site.
- Our customer platform, which stores enquiries and runs bookings, messaging, and follow-up.
- Our email provider, which delivers and stores our email.
- Our payment processor, if you become a paying customer.
Customer data we process on your behalf
If you're a customer, the system we run for you will hold information about your customers — names, contact details, bookings, signed documents, and call or message records. That data is yours. We process it to provide the service, we don't use it for our own purposes, and we'll export or delete it on your instruction.
Where calls or messages are recorded, you are responsible for making the disclosures and obtaining the consents that apply where you and your customers are located.
How long we keep it
Enquiries are kept for as long as we're in contact and for a reasonable period afterwards. Customer records are kept for the life of the account and then for as long as we need them for legal and accounting purposes. You can ask us to delete earlier.
Your rights
Depending on where you live, you may have the right to access a copy of your personal information, correct it, delete it, object to how we use it, or ask us to send it elsewhere. To exercise any of these, email hello@getoutpostsystems.com and we'll respond within the time the law allows. You can also complain to your local data protection authority.
Security
We use reputable providers and limit access to personal information to the people who need it. No system is perfectly secure, but if a breach affects you we'll tell you and the relevant authority as required.
Children
Our service is for businesses. We don't knowingly collect personal information from children.
Changes
If we change this policy we'll update the date at the top, and we'll tell customers directly if the change is significant.
